SafetraxApp (“we”, “our”, “the app”) is operated by WEBS UTILITY GLOBAL LLP. We provide a school-transport safety and attendance service to schools, their staff, drivers, and parents. This policy explains what personal information we collect, why, and how we protect it. We are committed to the Digital Personal Data Protection Act, 2023 (India).
Who controls the data
Schools use SafetraxApp to manage their own students, staff, and transport. Each school is the primary controller (data fiduciary) of the information about its students and staff; we process that data on the school’s behalf to deliver the service.
Information we collect
- Account & contact: mobile number (used as your login and to send you a one-time passcode), name, and your role (parent, driver, teacher, or admin).
- Student information (entered by the school): student name, class/section, and the parent/guardian link — so parents see only their own child.
- Attendance & boarding events: when a student boards/leaves the bus or is marked present in class, with the time and stop. Boarding uses a Bluetooth ID card detected by the driver’s or teacher’s phone.
- Location (drivers only, during an active trip): the driver device’s GPS location is collected only while a trip is running and used to show the bus’s live position and ETA to parents. We do not track parents’ or students’ phone locations.
- Device & technical: a push-notification token and basic device information needed to deliver alerts and keep the service secure.
How we use information
- Sign you in securely with a one-time SMS passcode (OTP). SMS is used only for login codes.
- Show parents the live bus location, ETAs, and their child’s boarding/attendance timeline.
- Let drivers run trips and teachers mark classroom attendance.
- Send safety alerts (boarded, reached school, dropped home, missed stop, etc.).
- Operate, secure, and improve the service.
We do not use your data for advertising, and we do not sell personal information.
Sharing
Information is visible within your school to the relevant users (e.g. a parent sees their child; an admin sees their school). We share data only with service providers who help us run the app — an SMS gateway to deliver login codes, and cloud hosting (Amazon Web Services, in India). These providers may process data only on our instructions. We may disclose information if required by law.
Children’s information
Student data is entered and managed by the school under its authority and with parental consent obtained by the school. The app is used by parents and school staff, not by children directly. If you believe a child’s information is in the app without proper consent, contact the school or us and we will act promptly.
Data retention
Trip, location, and attendance records are retained for the period needed to provide the service and meet the school’s requirements (typically up to 3 years), after which they are deleted or anonymised. Account records are removed when a school offboards or on a valid deletion request.
Security
Data is encrypted in transit (HTTPS/TLS). Access is restricted per school and per role, and login is passwordless (one-time codes). We apply reasonable technical and organisational safeguards to protect against unauthorised access.
Your rights
You may request access to, correction of, or deletion of your personal information. Parents and staff can contact their school administrator, or reach us directly at info@websutility.com. You can also request removal of your account and associated data.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected here with a new effective date.
